Overview

AIT Europe is looking for a Payroll Specialist Europe to support the HR Operations Manager Europe in overseeing full-cycle payroll operations across multiple European countries (12+). You will work closely with the local HR Operations Specialists and external payroll & pension providers to ensure accurate, compliant, and timely payroll processing with 0 mistakes and will co-manage the year-end closing process. This role involves project management of payroll provider migrations per country together with the HR Ops Manager Europe to ensure smooth transition and implementation according to the project plan.

This role is based in Warsaw, Poland.

Responsibilities

  • Responsible for accurate payroll processing together with the local HR Ops Specialists by performing four-eye review to ensure accurate gross-to-net calculations, deductions, and compliance with local laws.
  • Ensure compliance with local labor laws, tax regulations, and statutory requirements (e.g., pensions, social security, healthcare) per country.
  • Maintain up-to-date knowledge of payroll legislation across European countries and partner with the HR Ops Manager to communicate the relevant updates to local teams.
  • Act as a regional point of contact for external payroll and pension providers.
  • Collaborate with providers to ensure data integrity, compliance, and timely processing.
  • Provide regional support to the local HR Ops Specialists on payroll-related queries, including pensions, social benefits, taxes, and deductions and act as the Subject-Matter-Expert across Europe for all teammates.
  • Manage payroll provider migration projects in collaboration with the HR Operations Manager Europe. Support the execution of implementation plans, including training, communication, and change management to ensure smooth transitions.
  • Manage internal periodic audits, year-end reporting, and regulatory inspections.
  • Support with documentation and reporting for payroll audits and compliance reviews.
  • Involvement with enterprise-wide Payroll reporting within and outside of Paylocity/Deel. Partner with HR functional leaders as well as other internal and external stakeholders on reporting needs as requested.
  • Oversee multi-country PTO/holiday calendars, time-off audits, and payroll entries.
  • Monitor trends in questions/issues, recommending process improvements, communications, or education.
  • Ensure compliance with rules and regulations, including our data privacy and protection guidelines.
  • Support other ad-hoc projects within the European HR Ops team as needed.

 

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Finance/Accounting, or related field.
  • Minimum of 3 years of related Payroll processing experience across multiple countries in Europe.
  • Knowledge of tax and social security regulations in major countries. (ie. IT/ CH/ BE/ PL etc)
  • In-depth understanding of pension schemes across multiple European countries.
  • Prior experience with year-end closing process for payroll and contributions.
  • Prior experience working with HR systems preferred. (Deel, Paylocity, SuccessFactors/Workday)
  • Proven project management capabilities, including the ability to prioritize tasks, meet deadlines, and drive results in a fast-paced environment.
  • High level of integrity and discretion, handling sensitive and confidential information with professionalism and confidentiality.
  • Accurate with high attention to detail, speedy and independent way of working.
  • Collaborative approach and problem-solving techniques.
